Hayloft Gallery Art Fair
The Hayloft Gallery is located on a restored farmstead 8.5 miles south of Madison's Beltline Highway. The site includes three restored barns and the original farmhouse, now our business office.
In addition to standard Art Fair booths, the Hayloft Gallery, seen in the photo, will be used to showcase work from each artist, if they desire, in a mixed setting where our combined arts can complement each other. Wood Cycle staff will be in the Hayloft Gallery to handle any direct sale of an exhibited item, to answer general questions, or to direct an attendee directly to an artist's booth for more direct interaction and sales. Sales from the gallery will be non-commission during the event.
Each artist will also have a separate booth at the art fair. There will be indoor and outdoor booths available with the outdoor locations on a large flat gravel or lawn area, partially sheltered by mature burr oaks. The indoor locations will be in the restored farmstead buildings. Almost all the facility is handicap accessible, including bathrooms, but the driveways are gravel. Only four indoor booth locations will not have wheelchair access.
Marketing and Advertising
The historic farmstead, with updates such as the gallery, provides a unique and beautiful setting for our art fair attendees. With only limited advertising and just The Wood Cycle exhibiting, the gallery's grand opening had 500 attendees on a rainy April weekend. We believe the combined efforts of 50 or more exhibitors, with a broader direct mailing, and major media efforts we can anticipate more than 2,000 visitors. This art fair is also being held in conjunction with a neighboring Art in the Barn concert (www.artinthebarnwi.org), which features regional musicians on Saturday night. Artists are also invited to submit one or two pieces to be displayed at the Art in the Barn site, to further encourage Sunday attendance at our event.
The Wisconsin Arts Board has listed this event in their 2010 Arts & Crafts Fair directory, located at http://arts.state.wi.us/static/fairs/directory.htm. Our website, www.thehayloftgallery.com will serve as the primary communication tool, both for registering artists and for attracting art fair attendees. The site will include information about the event and its registered participants. Every registered artist will have a short bio or artist statement and a photo on this site, as well as a link to that artist’s site, if they have a website. To the extent that individual artists utilize other electronic social media formats such as twitter, facebook, blogs, etc., please use these media to direct people toward our website. The Art in the Barn event www.artinthebarnwi.org and www.thewoodcycle.com are also linked to the website and will publicize this event. The website will be maintained until registration begins for 2011. The Hayloft Gallery will be open on the additional Art in the Barn concert weeks and we will maintain information about the event and the artists involved, but our fair will only be on the June weekend.
Direct mail advertising that is demographically selected for our target market will be combined with mailing lists of registered artists, 14 South Artists and others. Art in the Barn will also publish this combined event in their postcards. Posters and post cards will be available in a downloadable format for individual artists to post, with area artists and event staff posting in the Madison area.
The Wood Cycle has also worked successfully with a publicity firm that has, in a period of two years helped to arrange many of the following:
- Five television interviews or features, one was also carried in Milwaukee and on CNN
- Two talk radio programs
- Six newspaper articles
- An In Business Magazine feature
- A Madison Magazine feature
- Several additional social event calendar listings
This publicity firm has been further retained to broadcast this event.

Rain Arrangements
There are only limited indoor locations. Each artist with an outdoor booth will be responsible for providing their own protection from the elements for themselves and their work. There will be no refund of fees because of undesirable weather. Barring hurricane, tornado, typhoon, or tsunami, the event is expected to proceed. Of these, only tornadoes have struck the barn (twice), but that was before being moved to this site.
Booth Fee
$60 for each 10' x 10' outdoor space and $100 for each approximate 75 to 100 square foot indoor space. No commission on sales. Each artist is responsible for presenting evidence of a Wisconsin Sellers Permit prior to setting up a display, and for collecting and reporting the 5.5% WI/Dane County sales tax.
Setup, Unloading and Parking
Set up will be held on Friday evening before the show 4 pm to 9 pm or Saturday morning starting at 6 am. All artists must check in at The Hayloft Gallery before setting up. Each artist will be responsible for design, staffing, set up and tear down of their display within their designated space. Spaces will be pre-assigned, with event staff having the right to modify artist selections as necessary to best accommodate all artists. Each artist will have the choice of displaying one, and possibly more, piece within the Hayloft Gallery. Art Fair staff will arrange the artwork in the Hayloft Gallery trying to accommodate the recommendations of each exhibiting artist. On-site parking is available, although artists will be asked to park at a greater distance to maximize convenience for attendees. Tear down must be completed by 9 pm Sunday unless other arrangements are made individually.
Applications
Complete the form (Word or PDF) and return with entry fee, along with requested jury information and jury fee, if required. Artists will participate based on their history of juried art events and organizations, or a jury process organized for this event. Eligibility
Not withstanding our rural setting, this is not a "country crafts"/flea market show. This is a fine arts and fine crafts show. Each piece of work must be of original design and executed by the exhibiting artist. Mechanical reproductions may be sold but must be labeled as such. No items made with the use of purchased patterns, plans or kits, and no items may be purchased and resold as artwork. Categories of acceptance include: ceramics, fiber, glass, graphics, painting, jewelry, photography, sculpture, 2 D mixed media, 3 D mixed media, print making and fine woodwork.
Food
There will be a food and drink concessions on the art show grounds. No alcoholic beverages will be served.
